Apply Credits

The user can use the Apply Client Credits option to quickly apply all the existing credits to the appropriate clients.

 

The Apply Client Credits button will be displayed in the Accounting menu only if there are receipts & credits ready to be applied. Otherwise, this button will not be visible.

 

Applying a Batch of Credits to Clients

  1. Click Accounting from the Main Toolbar

  2. Click Apply Credits

  3. Optional: Change Filters

  4. Click Recalculate

  5. Summary Screen displays counts for each item to be reviewed or processed

  6. Click Show to review or process that section

Please click on the following glossary terms for their definitions:

 

Schedule TemplateFilters list for clients on the selected template only. Defaults to All Templates.

Disbursement Date From and ToFilters list by disbursement date from the payment schedule points.

Include Credits Held UntilDisplays all payments, including those with hold date equal to the specified date in this field.

Date Credited From and ToDisplay only those records that were credited in the date range specified in this field.

 

Exact Match

All clients with funds allocated to points that match the filter and that have funds that match the filter will be counted as Exact Match with sub-counts for points with or without warnings.

 

Applying Credits

  1. Select Clients individually or click apply all in the header row

  2. Clients with Red Warnings will not be able to be selected and must be resolved before they can be disbursed

  3. Click Apply Credits

  4. Checks will be ready to print once the process is completed

Row Indicators

Yellow Row - Target Disbursement Date and Revised Disbursement Date are different

Pink Row - Target Disbursement Date is in the future

 

Warning Types

 

If a Payment Schedule point is applied before its regularly scheduled disbursement date an Task will be created and assigned  as defined in the Administration Console.

 

Over Match

All clients with funds allocated to points that match the filter, that have funds that match the filter, but also have extra funds allocated to the point will be counted as Over Match with sub-counts for points with or without warnings. If Over Match points are applied without the extra funds being reviewed the extra funds will be unallocated from the point.

 

If the user checks 'Create Promise to match allocated credit amount" when applying over matched credits a promise will be created to include the overmatch and the client's funds will be disbursed. If the client matches promise or minimum there will be a warning.

 

No Match

All clients with funds allocated to points that match the filter, that have funds that match the filter, but where the funds allocated don't match any of the Due Amounts (Minimum, Default, or Promised). These must be reviewed and can not be Applied.

 

Unallocated

All clients with funds not allocated to points. Past due points will display for any client with unallocated funds so the funds can be allocated appropriately.

 

Double click the record to open the Client Screen. Changes should always be made in the Promised Column of the payment schedule.

 

Negative Credits

If a client has any negative credits they will display in Negative Credits and must be Balanced prior to disbursing any positive credits allocated towards payment points.

 

Balancing a Negative Client

  1. Select Clients that have "Can be Balanced" checked by selecting individually or clicking Balance in the header row

  2. Click Balance Credits

Virtual

If a client has any virtual points due they display here to be marked paid. This feature is used by those agencies estimating what the client is saving on their own.

 

Marking Virtual Points Paid

  1. Select Clients by selecting individually or clicking Mark Paid in the header row

  2. Click Mark Paid
