ICCO Sign Roles

 

When using ICCO Sign for electronic signatures,different types of signers can be set up to sign documents.

These signers, for example, clients, leads, attorneys, creditors or any other contacts can be set up to sign documents sequentially

 

The required fields for ICCO-Sign roles are, the role name, role agent type and sequence

 

Role Name - Defines the person signing the documents, for example Signer1, Signer 2 or specific titles can be established for the person that will be signing the documents.

Role Agent Type - Refers to the type of agent that will be signing the documents, this could be a lead, client, creditor or attorney etc 

Note about converted Leads and Lead Co-applicants: If you send a document for signature to a lead and/or lead co-applicant and you convert the lead to a client before the document is fully signed, the document will not be able to be signed. This restriction is due to the configuration of the document itself. Each document is tied to a particular recipient and role. The document depends on bookmarks and data that is coming from the recipient tables. Those bookmarks and data might or might not apply to the new recipient type. The system cannot determine if the document will or will not render properly for clients if it was designed for leads. So any pending lead and/or lead co-applicant signatures will be cancelled when the lead is converted to a client.

 

Role Agent Default - This is a bookmark that is determined by the role agent type selected.

For example the Role agent type 'Client' will default to the role agent default  {DebtorID} and Role agent type 'Co-applicant' will default to the role agent default {DefaultCoAppID}

Sequence - The sequence starts at 1, and it describes the order in which the signers will receive the documents to sign. The main applicant will receive the documents first and after they have signed the documents, the documents will then be sent to the co-applicant who would is selected as the next person to sign (sequence #2)

 

Optional Fields

 

Optional - If the option is not enabled all the signers will be required to sign the documents. Enabling this option allows the user to send the same document to a client who may not have a co-applicant on file, therefore overwriting the default setting just for that document. When there is a co-applicant on file, the the option is not optional allowing the co-applicant to receive and sign the documents.

 

The following email settings would overwrite the default ones for ICCO Sign. They are only needed if you want to put something different for the individual document. 

Invite Email Subject - Specifies the subject of the email invitation 

Invite Email Message - Specifies the content that will be in the invite email 

Completion Email Subject - Specifies the subject that will be on the email confirmation that the signer has completed signing the documents 

Completion Email Message  - Defines the content that will be used in the completion email 

New User Email Subject - Specifies the subject of the email that is to be used in a new user email 

New User Email Message - Defines the content that will be in the body of the new user email 

 

Pre-Sign Questionnaire - A user can search for a questionnaire that needs to be completed prior to signing the documents on the web. The pre-questionnaire allows the users to fill out information that can be included in the signed documents. 

 

Multiple signers using the same machine

If the client and co-app are using the same machine and the client does not log out and then they click the co-app signing link it will tell them “The link you clicked belongs to a different signer. Please sign out and follow the link again”.

 

Multiple signers - Following the wrong document link

If the link is for a document that does not have the logged-in person as one of the signers then it will give the error “The link you clicked is invalid”. For example if the co-app is logged in and tries to follow the signing link of a document that only has the main client as sole signer.
