Adding an Task
Click New Task from the Toolbar
If there is no default category in the Administration Console a pop-up will ask you to select a category.
Based on the category settings the task will be assigned to the appropriate user
Enter summary note
If no other information is needed or required select the status desired for the task
Close the task screen
In the Task Information screen, specify the general information related to each task.
Type: Client/Lead or Creditor - Indicates whether the task is assigned to a Lead or Client or if assigned to a Creditor. 28048
Task Number - A unique identifier automatically assigned to each new task added it is a read-only field.
Status - Specifies the current status for the task.
Client/Lead - Specifies the client or lead related to the task. Right click option to Open Debtor
Counselor - Displays the counselor assigned to the lead or client - this field is read only.
Account Number - Specifies the client or lead’s account number related to the task.
Creditor Name - Specifies the account number’s creditor for which the task is being entered. This field is automatically filled in when an account number is entered in the Account Number field.
Category - Specifies a particular category for the task.
Subcategory - Specifies the subcategory for the task. The box is only enabled if the category has subcategories.
Priority - Specifies the importance level assigned to the task.
Assigned To User - Specifies the user to whom the task is assigned. Click the magnifying glass to search for a user.
Department - Specifies the department for which the assigned user works. This field is automatically filled in when a user is selected in the Assign to field or based on the selection of a category.
Location - Specifies the office location for allocating/reporting purposes.
Sales Agent - Specifies the Sales Agent for allocating/reporting purposes.
Contact Method - Specifies the way in which the lead/client/creditor contacted the agency.
Account Manager- Displays the account manager assigned to the lead or client - this field is read only. 27276
Summary - Provides a brief description of the task.
Entered By - Specifies the user that entered the task. When the user is entered, the current date and time information is automatically filled in. This is read only.
Schedule For - Indicates the date in which the task needs to be reviewed on. This can be used in task searches for sorting purposes.
Reminder - If selected a pop-up will display for the Assigned To User at the specified time.
Closed By - Specifies the user that closed the task. When the user is entered, the current date and time information is automatically filled in. This is read only.
Phone Button - With the software configured to use SIP, users can click the Phone Icon to dial any of the phone numbers listed for the client linked to the task or the creditor for the account linked to the task. 27962
Task Amount/ Paid Status - when a task is linked to billed items the amount and the current paid status will be displayed here
Account Status - Read only field to show the account status if the Task is linked to an Account
Document Imaging - the software can be setup to open third party imaging software applications
Enter Call Result - Allows the user to add a call log to the Issue. Users can also select one of the predefined options that are specified in Setup. 27962
To automatically print documents when an task is created the documents can be linked to button #113 in Buttons and Events Setup. 21615
